Privacy Policy

1. What we collect

We collect information you provide directly, including your name, contact details, property addresses, ownership and purchase information, and any documents you choose to upload (such as a deed). We also collect information generated through your use of the Service, such as your account activity and payment records (processed by our payment provider — we do not store your full card number). Documents you upload are handled as described in Section 5 below — our focus is on the property-related details we extract from them, not on retaining the original files.

2. How we use it

We use the information you provide to perform the records review you've requested, generate your Property Passport, communicate with you about your account and reports, process payments, and improve the Service. We also use property and record information you provide, together with public and third-party records, specifically to produce your Property Passport.

3. Public and third-party records

As part of the Service, we look up publicly available government records (such as Assessor, BSEED, and utility-related records) associated with the property you submit. This is separate from, and in addition to, the personal account information described above.

4. Sharing

We don't sell your personal information. We share information with service providers who help us operate the Service (such as hosting, payment processing, and email delivery), and where an add-on service requires it, to complete work you've specifically authorized. We may also disclose information if required by law.

5. Document uploads

Documents you upload (such as a deed) are used to support your property review. Our practice is to have our team review an uploaded document, record the specific property-related details needed for your Property Passport (such as a sale date or price), and then delete the original file once that review is complete — we don't intend to keep full copies of your documents on an ongoing basis. We try to avoid retaining sensitive personal identifiers that aren't needed for the review, such as a Social Security number, driver's license or passport number, or full bank account or card number — please avoid including these in anything you upload unless we've specifically asked for it. Until a document has been reviewed and its file deleted, it's stored securely and access is restricted to authorized personnel. If we ever offer an optional feature to keep a copy of your documents on file for your own reference, that feature will be off by default and require your choice to turn it on.

6. Data retention

We retain your account and property information for as long as your account is active, and for a reasonable period afterward to meet legal, accounting, or recordkeeping requirements. If you close your account, we'll retain a limited record consistent with those requirements. Uploaded documents are handled differently, as described in Section 5 above — original files are generally deleted once reviewed, rather than retained for the life of your account.

7. Your choices

You can review and update most of your account and property information directly in your dashboard. You can contact us to request a copy of your information or to ask questions about how it's used.

8. Security

We use reasonable administrative and technical safeguards to protect your information, but no method of storage or transmission is completely secure, and we can't guarantee absolute security.

9. Changes to this policy

We may update this Privacy Policy from time to time. If we make a material change, we'll update the effective date above.
